About the Role This is a high-ownership, hands-on role sitting at the heart of our operations. You'll work closely with leadership to keep work flowing, systems running and information accessible across the organisation. If you love building systems, eliminating manual work and making things just work, this role is for you. You’ll love this role if you are someone who enjoys being the “go-to fixer” for operational problems, and wants to grow into a Chief of Staff/Ops Leader role over time
5+ years of experience in operations, work management, or similar systems-heavy roles, with strong systems thinking and the ability to bring structure to ambiguity
Hands-on expertise with ClickUp (workflows, automations, dashboards, templates) and comfort using automation tools like Zapier, Make, or similar no/low-code platforms
Working knowledge of internal infrastructure management - including asset tracking, software license management, and access/permission controls in a remote environment
High ownership and a process-first, detail-oriented mindset - you proactively spot gaps, close loops, and drive things to completion
Ability to work independently, manage multiple priorities, and stay organized in a remote, async setup, with clear and confident communication in English
Nice to Have
Experience in a fast-paced startup or remote-first company
Exposure to other operations areas (HR, finance, rev ops, or similar)
Prior involvement in setting up internal tools, playbooks, or knowledge bases
Experience creating leadership or board-level materials
Own & Improve Internal Systems
Manage and improve how work is organized and tracked across teams
Manage and optimize tools like ClickUp (workflows, automations, dashboards, templates)
Help build a central “Work Hub” and single source of truth for projects and priorities
Keep plans, cadences, and changes up to date so work keeps moving and nothing falls through the cracks
Maintain a simple, usable playbook library for recurring workflows
Drive Automation & Efficiency
Identify repetitive/manual steps in current processes and propose automation opportunities
Build and maintain simple, scalable automations using no-code/low-code tools
Make sure automations are stable, documented, and safe from a data/access point of view
Help reduce tool sprawl and keep an eye on license usage and cost
Manage Internal Infrastructure
Oversee hardware/software asset tracking
Handle software licenses, renewals, and optimization
Maintain basic access controls and permissions
Provide Operations Support
Support the COO in preparing clean, accurate materials for leadership, board, and investors
Own day-to-day vendor and contract housekeeping (tracking, renewals, paperwork)
Help maintain the KodeKloud OS Handbook so it reflects up-to-date ways of working
Provide Central Services
Help set up and refine shared service “pods” and clear request paths for internal teams
Track incoming requests and basic capacity so work is balanced and expectations are realistic
Add simple quality checks so outputs from these services are consistent
Keep internal knowledge and links organized so they’re easy to find and use
Be a Problem Solver
Jump into research and execute solutions special projects coming from the COO’s office (e.g., new tools, new processes)
Support internal comms and rollouts when new systems, processes, or tools go live
Continuously look for ways to make the organization more efficient
Work at the center of how the company runs – this role sits in the COO’s office and directly shapes how KodeKloud operates
Solve real, messy problems – automate workflows, fix broken processes, and build structure where none exists
High ownership, low bureaucracy – if you see something broken, you have the autonomy to fix it and drive outcomes
