We are a dynamic and growing organization that values teamwork, innovation, and customer satisfaction. **Job Summary** As a Customer Service Representative at arenaflex, you will be responsible for providing exceptional customer service, contract administration, and customer engagement. You will be the primary point of contact for customers regarding orders, quotes, deliveries, changes, shipping, and data entry. You will also be responsible for reviewing and disseminating contract terms and conditions, special instructions, configuration changes, quality, pricing, and other requirements throughout the organization. **Core Responsibilities** * **Primary Customer Contact**: Serve as the primary point of contact for all customer inquiries regarding orders, quotes, deliveries, changes, shipping, and data entry. Respond to customer inquiries in a timely and professional manner through verbal and written communication. * **Contract Review and Administration**: Review customer purchase orders, quotes, and customer-specific requirements to ensure compliance with corporate policies and divisional operating procedures. Work with the Customer Service Supervisor to resolve customer requirements and draft correspondence for external and internal customers. * **Contract Dissemination**: Disseminate contract terms and conditions, special instructions, configuration changes, quality, pricing, and other requirements throughout the organization in accordance with written procedures. * **Contract Compliance**: Follow contract processes to ensure compliance with corporate and divisional policies (including Price Policy) and contract terms and conditions. Work with the Customer Service Supervisor and Customer Service Manager to establish proper direction and guidance to functional areas to ensure proper administration of contract requirements. * **Document Management**: Capture contractual documents, distribute copies to appropriate parties, and retain them in accordance with internal and/or customer retention requirements. * **Divisional Policies and Procedures**: Possess a vast knowledge of divisional policies and procedures to resolve customer inquiries relating to product application, customer-specific requirements, and quality claims. * **Quote and Solicitation Review**: Review customer requests for quotes and government solicitations (with guidance from the Contracts & Customer Service Supervisor and Customer Service Manager). Coordinate with the sales team and functional areas on new opportunities. * **Data Entry and Accuracy**: Input data (sales orders, RFQ, pricing, status, etc.) into the ERP system and ensure data is accurate and complete. * **Export Compliance**: Raise export compliance concerns to the Division Export Compliance Administrator (DECA) when required. * **Customer Account Setup**: Coordinate with finance to set up new customer accounts, obtain tax-exempt documentation, and validate purchase orders for alignment to company payment terms and conditions. * **Account Receivable Initiatives**: Support Account Receivable initiatives by resolving pricing and shipping discrepancies. * **Continuous Improvement**: Collaborate with all functional areas to identify opportunities that support continuous improvement initiatives. * **Professional Business Relationships**: Maintain professional business relationships with customers.
