Key Responsibilities
- Records, archives, oversees data set work, and prepares cost reports, reports, decks, notices, letters, and other documents, using MS Word, Excel, PowerPoint, Visio, and Outlook.
- Plans and maintains schedule of appointments, meetings, and travel agendas, and participates in related actions for the assigned Foundation.
- Screens calls and visitors; uses communication and interpersonal skills to welcome clients, colleagues, and employees; and resolves standard and complex requests.
- Prepares/starts correspondence, memoranda, reports, translates transcription from meetings, and distributes minutes of meetings.
- Holds meeting rooms and organizes catering as necessary to support meetings.
- Plans and organizes large meetings on and off-site.
- Assists with creating, implementing, and checking internal business processes and procedures.
- Manages the assigned building floor organization, including ordering supplies, maintaining supply room organization, managing mailings, and organizing housekeeping needs.
- Practices health-conscious behaviors in all operational processes and methods.
What You Need to Succeed
To be successful in this role, you will need to possess the following qualifications and skills:
- Secondary School Diploma, GED, or equivalent.
- Requires proficiency in Windows-based applications like Word, PowerPoint, Excel, and Microsoft Outlook.
- Must be team-oriented and able to coordinate activities across various departments, working closely with administrative assistants in different regions.
- Must be able to make travel arrangements.
- Must possess excellent communication, verbal, and written skills with all levels of staff, from frontline employees to senior staff.
- Must have the interpersonal skills necessary to coordinate the activities of others.
- Must possess detail-oriented skills necessary to ensure that information is accurate and correct, that records are syntactically correct, and that work is completed on time.
- Must be able to coordinate the schedules of different parts of tasks completed by independent staff members or vendors.
- Must possess hierarchical/administrative skills necessary to develop office strategies, focus on, and plan work activities of self and others, and balance multiple tasks and projects.
- Must be able to work effectively in a diverse environment, embracing different individuals, thinking, and styles.
- Must consistently make health and safety, of self and others, a priority.
- Must perform competently in current position.
- Where allowed by relevant regulation, must be vaccinated against COVID-19 by the date of hire to be considered for U.S.-based work, while not currently employed by arenaflex, Inc.

- Knowledge of corporate business cycles and methods, such as cost reporting, purchasing, and departmental budgeting.
- Four-year degree or 3 or more years of relevant experience.
