As a Virtual Receptionist and Live Chat Representative Intern, you will be an integral part of our team, working closely with our experienced staff to provide top-notch support and service to our clients.
**Key Responsibilities**
As a Virtual Receptionist and Live Chat Representative Intern, you will be responsible for a wide range of administrative and receptionist duties, including:
* Answering incoming telephone calls and directing them to the appropriate person or department
* Maintaining confidentiality of all pertinent personnel information in accordance with the Privacy Act and established personnel policies
* Typing documents, reports, and letters with high accuracy and speed
* Recognizing, responding to, and reporting resident emergency situations immediately
* Maintaining strict confidentiality on all facility data
* Communicating with and supporting residents, families, visitors, and other stakeholders
* Maintaining privacy of records, conditions, and other information relating to residents, employees, and facility
* Performing assigned tasks in accordance with policies and procedures, and as instructed by the Administrator
* Notifying supervisor of pending absence or tardiness within the time frame described in personnel handbook
* Operating copier, office machines, computer, and other equipment as directed
* Preparing and mailing statements in accordance with established billing procedures
* Assisting in preparing time cards and distributing payroll checks
* Maintaining current file and listing of residents, emergency phone numbers of on-call personnel, key personnel, and other important information
* Greeting visitors, guests, residents, sales people, and others, and monitoring or reporting suspicious persons or situations to the Administrator
* Receiving, sorting, and distributing mail as directed
* Referring difficult and conflicting interactions or situations to Administrator or appropriate department head
* Conducting annual salary and wage surveys and reporting findings to the Administrator
* Assisting in reporting complaints and grievances from residents, families, visitors, and partners
* Assisting with completing forms, reports, and other tasks that are not considered essential functions
* Assisting with supply inventory
**Knowledge, Skills, Abilities, and Qualifications**
To be successful in this role, you will need to possess the following knowledge, skills, abilities, and qualifications:
* High school diploma or equivalent
* At least six (6) months experience in payroll, insurance, and/or clerical position
* Excellent communication and interpersonal skills
* Ability to maintain confidentiality and handle sensitive information
* Strong organizational and time management skills
* Ability to work independently and as part of a team
* Proficiency in Microsoft Office and other software applications
* Ability to attend and participate in continuing educational programs and mandatory in-services
* Honors patients/residents' rights to fair and equitable treatment, self-determination, individuality, privacy, property, and civil rights, including the right to wage complaints
* Complies with corporate compliance program
* Reports job-related functions/tasks that involve occupational hazards, including exposure to blood and body fluids and others as necessary
* Follows established safety regulations, including fire protection and prevention, smoking regulations, infection control, and other safety procedures
