Job Description:
• Prepare past-due and retainer replenishment letters for review and approval.
• Schedule internal and external meetings.
• Enter, update, and manage tasks in Asana.
• Categorize incoming emails and organize them into folders.
• Track time accurately within internal accounting systems.
• Support leadership with block scheduling and calendar management.
• Coordinate with internal team members to produce weekly accounts receivable lists.
• Prepare draft responses and follow-up emails related to payments.
• Identify and summarize high-priority emails for leadership review.
Requirements:
• Full time role supporting leadership operations and financial coordination.
• Work schedule: 8:00 AM to 5:00 PM CST.
• Low call volume, primarily focused on coordination and scheduling.
• Primarily written communication with internal team members and clients.
• Strong emphasis on accuracy, documentation, and time tracking.
• Asana for task and workflow management.
• CosmoLex for timekeeping and accounting documentation.
• Email and calendar management systems.
• Internal communication tools.
• CRM and VoIP tools as used by the organization.
