Key Responsibilities
Lease Review &
• Abstraction
• Review and interpret commercial lease agreements, amendments, and related documents
• Extract and summarize key lease terms including rent schedules, escalation clauses, critical dates, and tenant obligations
• Prepare and maintain standardized lease abstracts
Data Entry &
• System Maintenance
• Accurately input lease data into property management or lease administration systems
• Maintain and update lease records to reflect amendments, renewals, and terminations
• Ensure all data is organized, consistent, and easily accessible
Data Validation &
• Quality Assurance
• Audit lease data for accuracy and completeness
• Identify and resolve discrepancies between lease documents and system records
• Maintain high standards of data integrity across all platforms
Financial &
• Operational Support
• Support rent rolls, billing processes, and expense tracking
• Assist with CAM (Common Area Maintenance) reconciliations
• Provide data for budgeting, forecasting, and reporting activities
Reporting &
• Analysis
• Generate reports related to lease expirations, rent schedules, and key dates
• Identify trends, risks, or inconsistencies within lease data
• Support internal teams with data-driven insights
Cross-Functional Collaboration
• Partner with property management, asset management, legal, and accounting teams
• Clarify lease terms and assist in resolving data-related questions
• Support audits, due diligence, and portfolio analysis efforts
Required Qualifications
• 2+ years of experience in data entry, data analysis, or lease administration
• Strong attention to detail and accuracy
• Ability to read and interpret complex documents (lease experience preferred)
• Proficiency in Microsoft Excel
• Strong organizational and time management skills
• Effective written and verbal communication skills
Preferred Qualifications
• Experience in commercial real estate, property management, or lease abstraction
• Familiarity with property management systems (e.g., Yardi, MRI, AppFolio)
• Understanding of lease terms such as CAM, rent escalations, and renewal options
