We are an ecommerce fitness equipment company seeking an experienced specialist to audit, troubleshoot, repair, and document our Google Workspace and Monday.com routing workflows.
Our environment includes Google Workspace, Gmail, Google Groups, Monday.com, Shopify, BigCommerce, Amazon order notifications, and automation platforms such as Make.com, n8n, Zapier, APIs, and webhooks.
This is an audit and takeover project. We are not looking for someone to rebuild everything from scratch. We need an expert who can first understand, map, and document the existing setup before making changes.
Current Challenges
Some of our workflows are unreliable or broken, including:
Shopify, BigCommerce, and Amazon order emails not creating items on the correct Monday.com boards
Google Workspace forwarding rules or Google Groups routing emails to incorrect destinations
Shared inboxes creating tasks on the wrong department or personal boards
Internal emails creating unnecessary Monday.com items
External emails requiring different handling than internal communications
Multi-recipient routing scenarios that require testing and validation
Existing automation workflows that may need troubleshooting or replacement
Responsibilities
Audit Google Workspace Admin settings, Gmail forwarding, aliases, Google Groups, and routing rules
Audit Monday.com board email addresses, automations, and workflows
Map current routing logic between inboxes, groups, aliases, boards, and sender types
Troubleshoot and fix critical routing issues
Test internal vs external sender behavior
Test one-email-to-multiple-board workflows
Recommend Make.com, n8n, Zapier, API, or webhook solutions only when necessary
Document all findings, changes, and recommendations
Create a written runbook and maintenance documentation
Record a Loom walkthrough for our internal team
Required Experience
Google Workspace Administration
