Job Description:
• Draft, review, track, and organize a wide range of legal documents, including amendments, letters, BAAs, NDAs, employment documents, and vendor contracts.
• Coordinate and maintain centralized corporate governance documents, licenses, annual filings, and compliance records across multiple states.
• Acts as primary liaison with CT Corporation.
• Serve as primary liaison with property & casualty, malpractice, general liability, workers’ compensation, cyber, and other insurance brokers.
• Collect and maintain documentation for insurance renewals, audits, COIs, endorsements, and underwriting submissions.
• Support real estate workflows by tracking leases, assisting with onboarding new practice locations, and coordinating required documentation.
• Support legal review workflows by coordinating with internal teams and outside counsel on deadlines, drafts, and required materials.
• Assist with responding to subpoenas, regulatory requests, and document pulls.
• Track key dates—contract renewals, insurance schedules, licensing deadlines—and escalate when needed.
• Coordinate incident and claim reporting to brokers and gather required documentation.
• Support M&A due diligence, integration tasks, and document collection.
• Maintain logs for litigation, complaints, incidents, and compliance reporting.
• Manage signature processes via AdobeSign and ensure proper document retention.
• Build collaborative relationships with internal and external stakeholders.
Requirements:
• Associate or bachelor’s degree preferred; Paralegal certification strongly preferred.
• 3+ years of paralegal, legal assistant, legal operations, or related administrative experience.
• Experience in MSO, ASO, healthcare, or behavioral health preferred.
• Multi-state experience in corporate governance, licensing, or insurance coordination is a plus
• Relevant experience may substitute for educational requirements
• Strong experience in legal administration, paralegal work, contract management, or legal operations.
• Experience coordinating insurance documentation or working with brokers strongly preferred.
• Outstanding organizational and time-management skills with strong attention to detail.
• Ability to manage shifting priorities, tight timelines, and multi-state workflows.
• Strong analytical, verbal, and written communication skills.
• Proficient in Microsoft Office Suite, SharePoint, and document management tools.
• Ability to maintain confidentiality, especially related to HIPAA and sensitive legal matters.
• Ability to work effectively in a remote team environment and individually.
• Demonstrated ability to prioritize and execute deliverables in a fast-paced environment.
