Part-Time Senior Bookkeeper / Staff Accountant

About Us
Single Crystal Diamond, Inc. is an advanced materials R&D company developing single-crystal CVD diamond technologies for semiconductor, photonic, quantum, and radiation-detection applications. We work with federal research programs, including SBIR-funded projects, and are looking for a reliable part-time accounting professional to help clean up, maintain, and improve our bookkeeping and financial tracking processes.
Position Overview
We are seeking a part-time Senior Bookkeeper or Staff Accountant with strong QuickBooks Online experience to help clean up our accounting records, maintain accurate books, support payroll accounting, and assist with project-based tracking for federal R&D programs.
This role is ideal for someone who is comfortable stepping into an existing accounting system, identifying issues, cleaning up records, and creating reliable monthly processes. Experience with SBIR/STTR, federal grants, government contracts, R&D companies, or project-cost accounting is strongly preferred.
Key Responsibilities
• Review and clean up QuickBooks Online records.
• Reconcile bank accounts, credit cards, and balance sheet accounts.
• Investigate and correct unsupported or unusual accounting entries.
• Maintain accurate accounts payable and accounts receivable records.
• Record and reconcile payroll entries from Paycom or similar payroll systems.
• Assist with payroll-related reporting and labor allocation.
• Track expenses by project, grant, or cost category.
• Support documentation for NASA, NSF, SBIR/STTR, or other federal award reporting.
• Help organize receipts, invoices, and supporting documentation.
• Prepare monthly financial reports, including P&L, balance sheet, and project-cost reports.
• Coordinate with our outside CPA/tax preparer as needed.
• Recommend process improvements for monthly close, documentation, and internal controls.
Required Qualifications
• Strong experience with QuickBooks Online.
• Experience cleaning up or correcting existing accounting records.
• Ability to reconcile bank, credit card, payroll, A/R, A/P, and balance sheet accounts.
• Understanding of accrual accounting.
• Experience preparing monthly financial reports.
• Strong attention to detail and documentation.
• Ability to work independently and communicate clearly.
• Comfortable working with a small company in a technical/R&D environment.
Preferred Qualifications
• Experience with SBIR/STTR-funded companies.
• Experience with NASA, NSF, DoD, or other federal grants/contracts.
• Familiarity with direct costs, indirect costs, allowable vs. unallowable expenses, and project-based accounting.
• Experience with Paycom or similar third-party payroll providers.
• Experience supporting CPA review, tax preparation, or audit readiness.
• Prior work with R&D, advanced materials, semiconductor, engineering, or technology companies.
Initial Priorities
The first phase of this role will focus on reviewing and cleaning up our current QuickBooks Online records, identifying reconciliation issues, reviewing payroll accounting, and helping establish a reliable monthly close process.
After the initial cleanup, the role is expected to shift into ongoing part-time maintenance, reporting, payroll accounting support, and documentation management.
