Position Overview
The Payroll Specialist will prepare, submit, and track certified payroll reports for all prevailing wage projects across the company. With training and experience, the role will expand to include prevailing wage setup in Vista and progress toward full payroll processing capabilities. This role supports all major payroll functions.
This role must be proficient in the knowledge of Certified Payrolls and will become proficient with the products and services provided by Beitzel Corporation and Pillar Innovations. This individual must be flexible and willing to work extended hours as needed.
The Payroll Specialist will report directly to the Payroll Manager and will operate in a fully remote work environment.
What You'll Do
Certified Payroll Reporting:
Prepare certified payroll reports (e.g., WH‑347 forms) according to federal, state, and local regulations
Submit certified payroll reports to general contractors, government agencies, or online compliance systems (e.g., LCP Tracker, Dili, Empact, Reunion)
Respond promptly to inquiries from auditors, project owners, or general contractors regarding submitted reports
Work closely with Payroll, Apprentice Program Manager, and Project Management to ensure wage/classification accuracy and timely submission of documents
Ensure compliance with Davis‑Bacon, state prevailing wage laws, and project‑specific wage determinations
Payroll Processing:
Learn the weekly payroll process to assist or cover other Payroll Processors
Manage weekly, monthly, quarterly, and annual filings with Federal, State and Local tax authorities as well as remittances for wage garnishments, unemployment insurance, etc.
Other:
Complete and submit state unemployment separation notices
Complete Verifications of Employment
Assist with Onboarding, Offboarding, and updating employee information
Working Conditions
Sit, talk, listen, observe, read, write and type
Regularly walk, handle, or feel objects, tools, or controls; reach with hands and arms
The employee must occasionally lift and/or move up to 30 pounds
What You'll Bring
1–3 years of payroll processing experience, certified payroll reporting, knowledge of state and federal payroll regulations, or a satisfactory combination of experience and training that demonstrates the ability to perform the duties of this position
Associate degree in Accounting or Business–Related discipline preferred
High School Diploma or equivalent required
Must have proven ability to deal sensitively with confidential material and use a high level of discretion and professionalism
Strong technical skills are required, including the ability to perform data file imports, navigate computer systems effectively, and use Excel spreadsheets and Outlook email with confidence
Familiarity with Viewpoint preferred but not required
Must possess strong mathematical and analytical skills – testing required during final candidate assessment
Ability to communicate effectively (both verbally and in writting) and to represent the company in a professional, competent, and courteous manner – testing required during final candidate assessment
Proficient in organizational skills with a high level of attention to detail and accuracy
Demonstrated ability to excel under pressure and to meet deadlines
Ability to coordinate with cross-functional teams to accomplish common goals
Must be able to effectively adapt to ever-changing and ever-emerging needs of the organization
