This role requires someone who thrives in a fast-paced environment, can manage multiple moving parts, and ensures nothing falls through the cracks. The Senior Project Manager will work directly with the founder and cross-functional teams to drive growth, optimize conversions, and uphold brand trust.</p> <p><strong>Key Responsibilities</strong></p> <p>Lead Generation (Top of Funnel)<br /> Partner with the content/marketing team to ensure campaigns consistently generate qualified leads (via DMs, forms, calls).<br /> Monitor lead sources (Instagram, Google, TikTok, etc.) and track weekly performance.<br /> Provide actionable insights on what drives lead volume and quality.<br /> Lead Management (Primary Responsibility)<br /> Respond to inbound leads within 15-30 minutes.<br /> Own CRM management — ensure every lead is tracked, updated, and followed up on without gaps.<br /> Oversee automated follow-up sequences (text, email, calls) and escalate/fix issues promptly.<br /> Work with the founder to refine scripts, tone, and response strategy.<br /> Coordinate part-time support staff, ensuring full coverage and zero missed leads.<br /> Booking Management<br /> Review booking data weekly: total bookings, sources, and trends.<br /> Ensure booking benchmarks are consistently achieved.<br /> Either directly manage bookings or hold booking staff accountable, reporting on performance and addressing gaps.<br /> Keep calendars consistently filled.<br /> Consultation & Sales Conversion<br /> Track and report consultation-to-treatment conversion rates.<br /> Collaborate with clinicians to improve consultation scripts, closing techniques, and overall conversion.<br /> Monitor objections and patient feedback on why sales are lost.<br /> Re-engage unconverted patients within 48 hours through strategic follow-ups.<br /> Support upsell/downsell strategy execution.<br /> Patient Experience & Brand Trust<br /> Oversee patient feedback loop — monitor reviews, surveys, and concerns.<br /> Ensure new patients feel supported post-consultation, regardless of conversion outcome.<br /> Enhance brand trust by closing the loop on patient communication.<br /> System Accountability<br /> Audit and maintain admin systems (logins, booking links, access, etc.).<br /> Proactively identify and escalate issues with backend processes or workflows.<br /> Be the “eyes and ears” of operational systems, ensuring smooth function.<br /> Funnel Performance & Reporting<br /> Deliver a comprehensive weekly funnel performance report, including:<br /> Total leads by source<br /> Booked appointments<br /> Show-up rates<br /> Conversion to treatment plans<br /> Collaborate with the founder regularly to review metrics, highlight wins, flag issues, and propose ROI-driven improvements.</p> <p><strong>Qualifications</strong></p> <p>5+ years of project management, operations, or sales/marketing funnel management experience.<br /> Proven expertise in CRM management, lead tracking, and pipeline optimization.<br /> Strong analytical skills with the ability to translate data into actionable strategies.<br /> Excellent communication skills (written and verbal).<br /> Highly detail-oriented, dependable, and proactive.<br /> Assertive, confident, and a true go-getter who takes ownership and drives initiatives forward.<br /> Strong leadership presence — able to hold others accountable while collaborating effectively.</p>
