Subcontractor Procurement and Fleet Manager

Job Description: • Subcontractor Sourcing & Selection: Identify, evaluate, and onboard subcontractors for various services/projects, ensuring the selection of the best-fit partners based on quality, cost, and reliability. • Contract Negotiation: Negotiate terms, conditions, and pricing with subcontractors, ensuring competitive and cost-effective agreements are reached while maintaining compliance with company policies. • Risk Management: Assess risks associated with subcontractor performance, compliance, and safety. Develop mitigation strategies and ensure subcontractors adhere to regulatory standards and company requirements. • Relationship Management: Build and maintain strong, long-term relationships with subcontractors, managing performance and resolving any issues that arise during project execution. • Compliance & Documentation: Ensure all procurement activities comply with relevant legal, regulatory, and industry standards. Maintain thorough records of subcontractor contracts, documentation, and performance reviews. • Cost Management: Oversee budgeting for subcontractor procurement, monitor cost control processes, and identify opportunities for cost savings without compromising quality. • Reporting & Analysis: Provide regular reports to senior management on procurement activities, including subcontractor performance, cost savings, and potential risks. • Collaboration: Work closely with project managers, operations teams, and other departments to ensure seamless procurement and execution of subcontracted services. • Fleet Operations Oversight: Manage the operation, maintenance, safety, and compliance of the organization’s motor vehicles. • Preventive Maintenance Programs: Develop and implement preventive maintenance schedules for vehicles and equipment to ensure safety, performance, and longevity. • Budget Management: Plan, manage, and monitor the fleet operations budget, including maintenance, repairs, and related expenses. • Vendor & Service Provider Management: Maintain relationships with external vendors, dealerships, leasing companies, and service providers. • Data & Reporting: Analyze fleet data (utilization, fuel, maintenance costs, repair trends) to support decision-making and continuous improvement. • Policy Development: Create and update fleet policies covering maintenance, safety requirements, compliance standards, and driver expectations. • Incident Management: Serve as the primary point of contact for employee fleet matters, including vehicle accidents, reporting procedures, and coordination with insurance or safety teams. • Continuous Improvement: Recommend enhancements to fleet processes, systems, and performance. • Other Duties: Perform additional responsibilities as assigned to support operations. Requirements: • Bachelor’s degree in Supply Chain Management, Business Administration, contractor management, or related field (preferred). • Proven experience in subcontractor procurement, construction procurement, fleet management, or related operational roles. • Strong negotiation, communication, and interpersonal skills. • In-depth knowledge of procurement processes, contract law, and industry best practices. • Ability to manage multiple projects simultaneously and work in a fast-paced, deadline driven environment. • Strong analytical skills with the ability to gather, interpret, and present data. • High attention to detail and problem-solving skills. • Proficiency with procurement software or Oracle systems a plus; Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint) required. • Familiarity with construction and safety standards, as well as regulatory requirements, is highly preferred.
