Job Description:
• Monitor internal order queues, email inboxes, and reporting tools for new Tax Certificate and HOA Certificate requests, updates, and related inquiries.
• Process new and update requests through approved third‑party vendor platforms (e.g., DataTrace, TitleLogix), tracking open orders through completion.
• Review returned Tax Certificates and HOA information for completeness, accuracy, and compliance prior to uploading to the production file.
• Upload completed certificates and supporting documentation into internal title closing systems following established naming conventions and document standards.
• Communicate clearly and professionally with internal closing offices regarding order status, delays, corrections, or changes impacting tax or HOA information.
• Maintain consistent service levels while managing daily production volume.
• Provide exceptional internal customer service while supporting department service level objectives.
Requirements:
• High School Diploma or equivalent required.
• Prior knowledge of, or experience with, Texas Property Tax Certificates and/or HOA information strongly preferred.
• Experience in a title, escrow, tax services, or real estate support environment preferred.
• Familiarity with third‑party tax service providers (e.g., DataTrace, TitleLogix).
• Strong organizational skills with the ability to manage volume‑driven work.
• High attention to detail and ability to identify discrepancies or incomplete information.
• Effective written and verbal communication skills.
• Ability to work independently while adhering to established processes and turnaround expectations.
• Proficient with standard office technology and document management systems.
