Executive Personal Assistant to Founder & Entrepreneur

Responsibilities: • Provide dedicated executive, operational, and administrative support to a Founder & Entrepreneur managing multiple business ventures and personal priorities. • Manage calendar scheduling, meeting coordination, and day-to-day administrative support across business and personal priorities. • Coordinate end-to-end travel arrangements, including flights, hotels, ground transportation, itineraries, and reservations. • Serve as a point of contact for vendors, contractors, service providers, and routine partner communications. • Track business operations, including invoicing, expenses, contractor payments, subscriptions, renewals, and reimbursements. • Support light financial administration, including bill payments, Zelle payments, expense tracking, and management of a small personal checking account. • Interface with accounting, wealth management, and financial advisory teams by gathering documents, fielding requests, and ensuring timely follow-through. • Help coordinate small teams across multiple businesses by managing meeting cadence, follow-ups, and light project management. • Document, organize, and improve recurring processes to create structure and keep operations running smoothly. • Support vendor and household management needs, including coordinating service providers and handling related logistics as needed. Qualifications: • 3+ years of experience in an executive assistant, operations, business management, family office, chief of staff, or similar support role. • Comfortable working fully remote with Principal mainly running on East Coast hours • Highly organized, proactive, and resourceful, with the ability to figure out unfamiliar tasks quickly and independently. • Strong written and verbal communication skills, with the ability to draft clear vendor emails, contractor briefs, and professional follow-ups. • Comfortable with basic financial workflows, including expense tracking, invoices, payments, reimbursements, and coordination with accountants or financial advisors. • Tech-fluent and comfortable using Google Workspace, Notion or similar tools, scheduling platforms, travel tools, and AI tools such as ChatGPT or Claude. • Able to learn new systems quickly and use technology to improve organization, communication, and workflow efficiency. • Comfortable managing contractors, vendors, service providers, and small remote teams. • Discreet, dependable, and able to handle sensitive personal, business, and financial information with sound judgment. • Prior experience supporting an entrepreneur, founder, principal, or executive in a tech or fast-moving business environment is preferred. • Exposure to family office, wealth management, light bookkeeping, or financial coordination is a plus. • Experience coordinating with accountants, financial advisors, or external financial partners is a plus. • Experience managing contractors or small distributed teams is a plus. • Please Note: Your application will be considered for all open positions.
